PTAS Finsuite · AP Automation

AP team should be reviewing exceptions. Not keying invoices.

PTAS Finsuite AP Automation captures every vendor invoice the moment it lands, runs 6-way matching against PO, GRN, contract, tax, vendor master, and payment history, routes the approvals, and posts the cleared invoice to your ERP. Your team handles the 3 to 5 percent that actually needs a human.

manual AP actually costs

Keying invoices is not the expensive part. Everything it breaks is.

The number everyone quotes is cost per invoice. The numbers that matter are everything downstream of a late posting — missed discounts, over-payments, fraud, and the hours your senior accountant spends chasing a GRN at month-end.

$12–$35

Cost per manually processed invoice

Industry benchmarks put a keyed-and-routed invoice between twelve and thirty-five dollars, depending on approval hops and exception rate. Multiply by your monthly volume and the number gets uncomfortable quickly.

APQC & Ardent Partners AP benchmark ranges.
1–2%

Duplicate payments on untouched AP

Without a signature-based duplicate check, one or two percent of invoices get paid twice — same amount, same vendor, slightly different invoice number. Nobody notices until the vendor sends a credit note six months later.

Common finding in AP audits without automated dedupe.
70%

Of early-payment discounts left on the table

A 2/10 net 30 discount is free yield on working capital. Teams that cannot close an invoice inside ten days lose it. When the bottleneck is approval routing and exception handling, that discount disappears month after month.

Beyond 3-way match

The 3-way match caught half the problem. Here is what it kept missing.

Most AP tools stop at invoice versus PO versus GRN. That is fine for catching the wrong quantity. It does nothing about wrong tax codes, rate deviations from the contract you signed last quarter, or vendor bank accounts that quietly changed yesterday.

Six checks, one invoice

Finsuite runs every invoice through six validation gates before it posts. Each gate writes its own audit line, so when your internal auditor asks why invoice 20482 cleared, the answer is on one screen — not in six people’s inboxes.

  • PO match. Line-by-line against the open purchase order, with UOM normalisation.
  • GRN match. What the warehouse received, not what the vendor claims was delivered.
  • Contract match. Rate, Incoterms, and payment terms against the master agreement.
  • Tax match. GST split, HSN/SAC, reverse-charge flag, TDS section and rate.
  • Vendor master match. Bank account against the last payment. Any change blocks payment until reverified.
  • Duplicate check. Signature across vendor GSTIN, invoice number, date, amount, and PO reference.
How it works

From inbox to posted invoice in six steps.

No black box. At every step you see the data, the rules that fired, and the confidence score. If the agent sends something to review, the reason is on the ticket.

  1. Capture

Invoices arrive by email, vendor portal, EDI feed, or scanner drop folder. Finsuite picks them up automatically — no forwarding rules to maintain, no shared inbox to babysit.

  2. Extract

DocPro reads the invoice, pulls header and line items, and returns structured JSON with a confidence score per field. Layouts you have never seen before still work.

  3. Match

The 6-way match runs against PO, GRN, contract, tax, vendor master, and payment history. Pass, fail, or warning on every check — in the audit log, not in someone’s head.

  4. Route for approval

The invoice moves to the right approver based on amount, cost centre, and your policy. SLA reminders chase stalled approvers. Delegation handles people on leave.

  5. Post to ERP

Approved invoices post to SAP, Oracle, Dynamics, Tally, QuickBooks, Xero, Zoho, or NetSuite through a native connector. No CSV exports, no manual re-keying.

  6. Pay and reconcile

Payment runs trigger on your schedule. When the bank statement comes back, Finsuite matches it against the posted invoice and closes the loop automatically.

Capabilities

What Finsuite AP does, without you asking.

The features below run on every invoice by default. Nothing here is a paid add-on.

Multi-channel capture

Invoices from your AP inbox, a vendor portal, EDI, or a scanner folder — Finsuite listens to all of them.

  • Email ingestion with attachment parsing
  • Vendor self-service upload portal
  • EDI (X12 810, EDIFACT INVOIC)
  • Watched folders on SFTP or S3

Invoice extraction by DocPro

Agentic extraction reads invoices the way a human reads them — even first-time layouts from new vendors.

  • Header and line-item fields, tagged separately
  • Multi-page PDFs, scanned copies, photos
  • Confidence score per field
  • 10+ languages

6-way matching

Three more checks than anyone else runs by default. Contract, tax, and vendor master all participate.

  • PO + GRN + contract + tax + vendor + dedupe
  • UOM normalisation across SKUs
  • Partial receipts and split POs
  • Rate tolerance bands by contract

Approval workflows

Configurable to your org chart, not the other way around. Amount thresholds, cost centres, delegation, SLAs, reminders.

  • Multi-level and parallel approvals
  • Out-of-office delegation
  • Auto-reminders at configurable intervals
  • Approval-by-email for senior reviewers

Exception queue

Everything that fails a check lands here with a reason code. Your team fixes the one thing that is wrong and sends it back.

  • Reason codes per failed rule
  • Side-by-side invoice and extracted data view
  • One-click re-run after edit
  • Reviewer history per invoice

GST & TDS native

Indian tax rules are not an afterthought. They run as first-class validation gates.

  • GSTIN format + live validation
  • HSN / SAC code parsing
  • IGST vs CGST-SGST split check
  • TDS section, rate, and threshold checks

Fraud & anomaly detection

Bank-account changes, unusual spend spikes, and invoices with no open PO get flagged before payment.

  • Vendor bank change freezes payment
  • Per-cost-centre spend anomaly flags
  • Round-number and sequential invoice patterns
  • Shell-vendor detection on new registrations

Dynamic discounting

Faster approval unlocks early-payment discounts. Finsuite surfaces the trade-off live, so Treasury decides with real numbers.

  • Early-payment discount calendar
  • Yield-vs-cash-flow decision view
  • Vendor-initiated discount offers
  • API hook for your TMS

Audit trail & reporting

Every action is logged, signed, and replayable. Your auditor asks a question, the answer is one query away.

  • Per-invoice rule and reviewer history
  • Export to CSV, Parquet, or your BI stack
  • Pre-built AP aging and cycle-time reports
  • SOX and internal-audit pack on request
ERP & accounting

Posts where your ledger already lives.

Native connectors for the systems your controller already trusts. If yours is not on this list, the REST API and webhooks cover it.

Posting a cleared invoice is a single API call on our side. Whether that lands in SAP’s BAPI, Oracle’s REST, or a custom ledger behind your firewall is a connector configuration, not a rebuild.

Security & compliance

Finance data is sensitive. We treat it that way.

ISO 27001-aligned controls, data residency where you need it, and a DPA on the table before the first invoice moves.

ISO 27001-aligned

Encryption at rest and in transit, key management, role-based access, quarterly access reviews, and incident response playbooks documented and tested.

Regional data residency

Pick your region on AWS, Azure, or Google Cloud. For regulated environments, single-tenant and on-premise deployments are available, including air-gapped installs.

Customer-managed keys

Bring your own KMS. CMK covers encryption at rest for invoice attachments, extracted data, and audit logs. Rotation is on your schedule.

DPA, NDA, and MSA

Our paperwork or yours — whichever is faster. A DPA is signed before the first invoice is uploaded. No discovery call needs to happen behind a paywall.

Immutable audit log

Every action is signed and timestamped. Ledger-style, append-only, and exportable on demand. Your internal auditor gets read-only access if you want.

SSO & SCIM

SAML and OIDC for single sign-on against Okta, Azure AD, Google Workspace, and Ping. SCIM handles joiners, movers, and leavers without a weekly CSV.

FAQ

What controllers and AP leads usually ask first

If your question is not here, a 30-minute call with a solutions engineer is usually faster than email.

What is 6-way invoice matching, and how is it different from 3-way match?

A 3-way match checks the invoice against the PO and the goods receipt. Most AP tools stop there. Finsuite adds three more: the signed contract (rate, Incoterms, payment terms), tax computation (GST split, HSN, TDS), the vendor master (bank account versus the last payment), and a duplicate signature across vendor, invoice number, date, amount, and PO. That is where rate drift, wrong tax codes, and quiet bank-account fraud get caught before money moves.

Which ERPs and accounting systems does Finsuite AP integrate with?

Native connectors ship for SAP (ECC and S/4HANA), Oracle Fusion and E-Business Suite, Microsoft Dynamics 365, NetSuite, Tally Prime, QuickBooks Online, Xero, Zoho Books, and SAP Business One. Anything outside that list is covered by REST APIs and webhooks, and we have built custom connectors for in-house ledgers in two to three weeks when needed.

How long does a typical AP automation rollout take?

Most teams process their first live invoice within five working days of kickoff. A full rollout — approvals, exception policies, GST rules, ERP posting, vendor portal — usually lands between four and eight weeks. Custom approval hierarchies, air-gapped deployments, or integrations with an in-house ledger can add two to four weeks.

How accurate is invoice data extraction?

Field-level accuracy lands between 95 and 99 percent on standard invoice formats once the DocPro invoice agent is tuned to your vendor mix. Every field carries a confidence score. High-confidence fields auto-post; the rest land in a review queue with the image, the extracted data, and a reason code side by side. The real question is usually not raw accuracy — it is what you do with the 1 to 5 percent that needs a second look. That is what the exception queue is for.

Does Finsuite handle GST-compliant invoices and TDS deduction?

Yes. GSTIN format and live validation, HSN/SAC code parsing, reverse-charge flags, IGST versus CGST-SGST splits, and TDS section, rate, and threshold checks all run as first-class validation gates. An invoice that fails a GST or TDS check does not post — it goes to your tax team with the specific rule that failed.

How does Finsuite detect duplicate or fraudulent invoices?

Duplicate detection runs on a signature built from vendor GSTIN, invoice number, date, amount, and PO reference. A new invoice that hits an existing signature is blocked. For fraud, Finsuite flags vendor bank-account changes against the master on record, unusual spend patterns per cost centre, round-number or sequential invoice numbers, and invoices that do not tie to any open PO. Flags do not silently pass — they sit in the exception queue until a human releases them.

Can I deploy Finsuite on-premise or in my own cloud account?

Yes. Standard SaaS runs on our multi-tenant cloud in your region of choice. For regulated workloads, Finsuite ships as a single-tenant deployment in your AWS, Azure, or GCP account, or fully on-premise with an air-gap option. A DPA is signed before any document moves, regardless of deployment model.

How is PTAS Finsuite AP priced?

Per processed invoice, with volume tiers, plus a platform fee covering approval workflows, exception UI, and ERP connectors. Enterprise contracts bundle committed throughput, a named customer engineer, priority response SLAs, and customer-managed keys. If you send us your invoice volume, vendor mix, and ERP targets, we will quote inside a week.

How does Finsuite AP relate to DocPro?

DocPro is the agentic document extraction engine that reads the invoice and returns structured data. Finsuite AP is the workflow on top — matching, approvals, exceptions, posting, payment, reconciliation. You can license either one standalone. Engineering teams often take DocPro alone and build their own AP workflow around it. Finance teams usually want Finsuite end-to-end.

Send us last month’s AP batch.

A hundred of your real invoices, the messier the better. We run them through Finsuite and send back the extracted data, the match results, and the exceptions we would have flagged. No slide deck. Just output you can put next to what you have now.
